Plenty of forms don't ask for a certain width or height. They ask for a file under a certain number of kilobytes. A job portal wants your photo under 100KB. An exam site caps the signature at 20KB. Why file size and dimensions are not the same thing

The order that works every time

Whatever the target, run the steps in this order. It gets you to the number with the least damage to the picture.

  1. Start from the original, not a copy you already shrank once. Every save of a JPEG loses a little quality, so begin from the best version you have.
  2. Set the dimensions first. Decide how large the image really needs to be on screen and cut to that. A profile photo rarely needs to be more than 600 pixels on its longest side.
  3. Choose JPEG for photos. JPEG compresses photographs far smaller than PNG. Save PNG for logos, screenshots, and anything with sharp text or a transparent background.
  4. Lower the quality until you hit the target. Nudge the quality down and watch the file size fall. Stop the moment you are under the cap with a little room to spare.

100KB

These are roomy targets. At 200KB you can keep a clear, good-sized photo with only mild compression. At 500KB most photos fit with barely any quality loss at all, so the main lever is just picking sensible dimensions and letting light compression do the rest.

Watch the dimensions the form asks for too

Some forms give you both a pixel size and a KB cap: "photo must be 350 by 450 pixels and under 50KB," for example. When that happens, set the exact pixel dimensions first, then compress to hit the KB number. The two rules work together, and the pixel size is usually the fixed one while the KB cap gives you a ceiling to stay under.
